This policy explains how Online Marketing Genies (ABN 57 063 809 947) collects, uses and protects your personal information. It covers our website, the fCMO Portal, our workshops and retreats, and our emails. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth).
1. What we collect
• Contact details: your name, email, mobile number, business name and website.
• Membership and billing details: your plan, payment history and billing address. Card details are handled by our payment provider, Stripe. We never see or store your full card number.
• Business information you share: your self-audit, scorecards (such as revenue, lead numbers and conversion rates), roadmaps, questions to the strategist, and anything you post in the community or share in live sessions.
• Usage information: when you log in, which modules you complete, and how you use our website and emails (for example, whether an email was opened or a link clicked). We use cookies and similar tools for this.
• Recordings: your voice, image and comments if you take part in a recorded live session.
• Workshop and retreat details: for retreats, also travel and dietary details you give us.
We collect most of this directly from you, through our forms, checkout, portal and conversations. You can deal with us without giving your name for general enquiries, but we need your details to provide a membership.
2. How we use it
• to set up and provide your membership, including portal access, live sessions and support
• to process payments, send tax invoices and manage renewals
• to tailor our guidance to your business and track your progress against your baseline scorecard
• to send you service emails, such as login details, reminders and billing notices
• to send you marketing emails and SMS about our services, if you've agreed to receive them
• to improve the portal, our content and our website
• to meet our legal obligations
3. Marketing messages
We'll only send you marketing emails or SMS if you've opted in, for example by joining our waitlist. Every marketing message includes a way to unsubscribe, and we'll action it within 5 business days. Service messages about your membership (such as billing notices) will still be sent while you're a member.
4. Who we share it with
We don't sell your personal information. We share it only with the people and services that help us run the fCMO Portal:
GoHighLevel: Our CRM, membership portal, community, forms and email/SMS
Stripe: Payment processing
Zoom: Live sessions
Google Workspace: Email and documents
Accountant / Bookkeeper]: Tax and financial records
These providers may only use your information to provide their service to us. We may also share information if the law requires it.
In the community and live sessions: what you post or say there can be seen by other members. Please only share what you're comfortable sharing with the group.
Case studies and testimonials: we'll only publish your name, photo, results or feedback with your permission.
5. Storing your information overseas
Some of our service providers store data outside Australia, including in the United States. We choose providers with strong security practices, and we take reasonable steps to make sure they handle your information in line with the Australian Privacy Principles.
6. Automated decisions
We use automation in GoHighLevel and Stripe to run your membership. These systems can make some decisions without a person reviewing them first:
• granting portal access when your payment goes through
• pausing access if a payment is still unpaid after our reminder period
• moving you to a different stage in our member records based on your activity, for example if you haven't logged in for 14 days, so we can check in with you
They use your payment status, plan and portal activity. If you think an automated decision about you is wrong, contact us and we will review it.
7. Keeping it secure
We store your information with reputable cloud providers, limit access to people who need it, and use secure logins. If a data breach is likely to cause you serious harm, we'll notify you and the Office of the Australian Information Commissioner as required by law.
We keep your information for as long as we need it to provide our services and meet our legal obligations, including keeping financial records for 5 years. After that, we delete or de-identify it.
8. Accessing and correcting your information
You can ask to see the personal information we hold about you, or ask us to correct it. Email [email protected] and we'll respond within 7 days. Most details can also be updated in your portal account settings.
9. Making a complaint
If you have a concern about how we've handled your personal information, please contact us first at [email protected]. We'll acknowledge it within 5 business days and aim to resolve it within 30 days.
If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner on 1300 363 992.
10. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated. If we make a significant change, we'll email members.
